How to Renumber Offering Envelopes in Shepherd's Staff | Training
How do you renumber offering envelopes in Shepherd's Staff? In this 30-minute training webinar, Taylor Brown from the Concordia Technology Solutions support team walks through the full renumbering process in the Contributions module: get your contributor list right, assign upcoming envelope numbers, print lists and box labels ahead of Advent, then switch over with the Start Using Next Year's Envelopes utility. Shown in Shepherd's Staff version 10. Earlier versions may look different or lack some features. Version 10 is available to churches with an active support contract. WHAT YOU'LL LEARN - Entering one-time givers with the Other Giver option in an offering batch - Adding regular givers as contributors, including joint contributors for married couples - Matching envelope numbers to Vanco account IDs, or using the Vanco field instead - Freeing up numbers for removed or transferred givers with "does not use physical envelopes" - Locking a number with "skip this envelope when renumbering" - Running the renumbering utility under Tools and Settings (administrator access required) - Renumbering manually or with Auto Number: keep current numbers, consolidate in current order, or number alphabetically - Finding conflicts and duplicate numbers with the version 10 conflict view - Printing current and upcoming envelope lists, the cross reference report, and box labels - Switching over with Start Using Next Year's Envelopes, and fixing a duplicate record error QUICK ANSWERS Do I have to renumber envelopes every year in Shepherd's Staff? No. Renumbering is a consolidation step. Run it when you need it, for example before a new envelope order. Does renumbering change anyone's number right away? No. The utility fills in upcoming envelope numbers only. Current numbers stay in use until you run Start Using Next Year's Envelopes. Can I keep entering offerings while upcoming numbers are set? Yes. Keep entering offerings under current envelope numbers through year end. What causes a duplicate record error? Two contributors share the same upcoming envelope number. The utility moves nothing when it fails, so sort by upcoming envelope, fix the duplicate, and run it again. Can I undo an envelope activation? Yes. A utility under Tools and Settings moves everything back to upcoming so you can run it again.
